Investing in Trade Show Booths Is the Foundation of Trade Show Success

Trade fairs are places where, in just a few days, you can do more for your brand than in months of online activity. It’s a space where customers, contractors, business partners, and the media meet. Your trade show booth is the first thing visitors see—and it determines whether they stop with you or move on. A trade show booth isn’t an expense; it’s an investment that can pay off at your very first event.

Studioexpress favicon 100% Return on Investment at Your Very First Trade Show

Instead of paying the organizer for a booth that disappears after three days, you invest once and have your own trade show booth that earns at every event. Studioexpress modular trade show structures not only pay for themselves but start generating profit from the next event onward.

Studioexpress favicon Calculate Your Return on Investment

In marketing, there’s a difference between an expense and an investment. An expense is something that disappears—like a newspaper ad, a flyer, or the organizer’s temporary build. An investment is something that stays and works for you for years. Every exhibitor has a different area and different rates. That’s why we prepared a simple calculator: enter the floor area, choose the venue, and see how much you really save by buying your own booth instead of paying the organizer at every event.

How Much Does a Trade Show Booth Cost — Scenario 1

At trade shows everyone pays for floor space. But it’s your decision whether you come back with an investment—or just another bill. You purchase space with the organizer’s build. You get the OKTA system, carpeting, sometimes a counter. Three days pass, the booth disappears, and you’re left with an invoice for several, sometimes a dozen or more, thousand PLN. At the next edition—you pay again. The story repeats endlessly.

How Much Does a Trade Show Booth Cost — Scenario 2

A Booth That Stays With You. You Invest Once in a modular, reusable Studioexpress trade show booth. The cost is comparable to one edition of a 9 m² show, but the result is completely different. The trade show booth remains in your company for years. You set it up in an hour, transport it even in a sedan, and use it repeatedly—at trade shows, conferences, and roadshows. The investment pays off at the very first event and with every subsequent one you keep earning.

Studioexpress Favicon Standard Dimensions and Types of Lightweight Trade Show Booths

Trade show organizers offer floor space in several standard variants. That’s why we design our booths to fit perfectly into these formats and to be made in various technologies: LED, traditional with halogen lights, or on a textile frame. All Studioexpress systems are mobile and express—assembled in under an hour and transported in a passenger car.

Most Common Formats

3×2 m (6 m²): a compact solution in the form of a row booth. Ideal for startups and local brands that want to showcase products in a smaller space.

3×3 m (9 m²): the most popular format—the trade show “gold standard.” Versatile, available as a row or corner booth.

4×3 m (12 m²): more space for additional elements: a table, counter, multimedia. Works as a row, corner, or island booth.

5×4 m (20 m²): the choice for companies that want to stand out with a large footprint and an eye-catching build. Most often executed as a corner or island booth.

16 m² and 24 m²: large premium booths, often complemented with event furniture: tables, cocktail tables, folding chairs. An ideal solution for industries needing larger displays, e.g., agricultural machinery or industrial equipment.

Studioexpress favicon Why Is Choosing the Floor Area Crucial?

The organizer charges you per square meter. Every centimeter you don’t use is money lost forever. A poorly matched booth means you either overpay for space you don’t use or buy a structure that doesn’t fit the rented format.
We design our trade show booths to grow with your needs. You can start from 1 m² and later expand the booth to 3, 6, 12, 16, or 24 m². You purchase additional modules; you decide when and in what direction to develop your booth, and the investment works for you for years.

Studioexpress favicon Mobile Trade Show Booths for Conferences, Events, and Smaller Occasions

Conferences, trainings, congresses, and corporate events are a different world than large trade shows. Here, no one measures whether the booth is 298 cm or 302 cm. Something else matters more: mobility, quick assembly, and a visual effect that instantly attracts attention. Common formats include 1×3 m, 2×3 m, 3×2 m, or 3×3 m, but these are just examples showing practical layouts. In reality, at conferences and smaller events any setups are used, because centimeters are not the key factor.

Studioexpress Favicon PRO Trade Show Booths – Tailored to the Centimeter

The PRO trade show booth system is designed based on international exhibition standards. Modules 85 cm, 185 cm, 285 cm, 385 cm, 485 cm, 585 cm create a layout that always fits the rented area—regardless of whether your booth is a row, corner, or peninsula configuration.

Most Common Full Trade Show Floor Sizes

1×1 m: the most compact variant in the offer. Allows you to present your brand even where space is highly limited.

1×3 m: a slim structure that offers surprisingly large space for graphics and promotional materials while taking up little room.

3×2 m (6 m²): a practical display area that works great for recurring events and roadshows.

3×3 m (9 m²): the most commonly chosen trade show standard. Meets organizers’ requirements and provides space for client conversations.

4×3 m (12 m²): a larger area allowing for an expanded display, multimedia, and a business meeting zone.

5×4 m (20 m²): a large format for companies wanting to create an impressive presentation area and stand out from competitors.

9–24 m²: solutions for companies planning a large display. Enable product presentation, multimedia, and meetings with partners.

profitable trade show booths—new chapterTo Wrap Up the Story — See the DBK Case Study

The DBK example shows practice, not promises. One modular set—three LED lightboxes and a counter with interchangeable fabrics—provides different layouts (corridor, lobby, hall, entrance), assembles in about 15 minutes, and maintains consistent, clear branding. The result is predictable exposure, easier visitor orientation, and lower event operations costs. You’ll find the full description in the DBK Case Study.

This isn’t the end; it’s the beginning of a long, profitable success story for you

FAQ – Modular Trade Show Booths

1. How does owning a booth differ from the organizer’s build (e.g., OKTA)?
With the organizer’s build, you pay for every edition and everything disappears after the show. Your own booth is a one-time purchase you use repeatedly—at trade shows, conferences, and events—so the cost starts paying back from the very first occasion.
2. How many people and how much time are needed to assemble a booth?
Typical 3×2 or 3×3 m sets are assembled by 1–2 people in about 45–60 minutes, without tools. Disassembly usually takes less time.
3. Will the set fit into a passenger car (sedan/wagon)?
Yes. Modules are packed in mobile cases/bags, which makes transport possible even in a sedan. For larger areas we recommend a wagon/van for convenience.
4. What are the standard booth dimensions?
The most frequently chosen are 3×2 m (6 m²), 3×3 m (9 m²), 4×3 m (12 m²), and 5×4 m (20 m²). Larger configurations of 16–24 m² are also available.
5. Can I expand the booth in the future?
Yes. The system is modular—you can start with a small set and gradually add elements, scaling the booth to 9, 12, 16, or 24 m².
6. What sets the PRO system—“tailored to the centimeter”—apart?
Modules with widths of 85/185/285/385/485/585 cm let you precisely fill the rented space in row, corner, or peninsula layouts, eliminating “dead” centimeters.
7. Can I prepare the graphics in Canva myself?
Yes. The system is prepared for work in Canva—you receive guidelines and templates, so you don’t have to be a DTP expert to create professional graphics.
8. Will I get a 3D/AR visualization before production?
Yes. You’ll receive a realistic 3D visualization and a 1:1 AR preview—you can “place” the booth in the target space and check every detail.
9. Do the materials meet fire safety requirements?
Yes. We print on flame-retardant fabrics class B1 (DIN 4102) and EN 13501-1. The PRO system additionally has a TÜV Rheinland certificate.
10. How do I calculate the profitability of purchase vs. rental?
Use our ROI calculator: enter the floor area and venue to compare the one-off cost of the organizer’s build with purchasing your own reusable booth.
